Why do we need to record Welfare concerns?
During the period we have been recording Low‑Level Concerns, some Counties have also been using Smartsheet's and CLUE to record wider welfare concerns. This has often been done instead of keeping them on a separate spreadsheet—or, in some cases, not recording them at all.
However, when entering these cases, the “subject” field doesn’t always fit the situation, as the individual named is not the person displaying concerning behaviour. Examples include:
- a bullying concern where the subject is the child being bullied by peers
- a neglect concern where the subject is the child experiencing the neglect
- a concern relating to a player who is self‑harming
We believe the system should allow for these types of concerns to be recorded, but it’s important to note that a Low‑Level Concern, by definition, relates to concerns about the behaviour of an individual—typically behaviour directed towards someone else.
Is it compulsory to record Welfare Concerns?
It is each cricket organisation’s responsibility to record concerns about players and staff in the way they feel is most appropriate. We’re aware that some organisations use alternative systems to record this information, and they are free to continue doing so.
This development is intended to provide a safer and more consistent recording option for those organisations that need it. Welfare concerns entered into the system will be triaged in exactly the same way as a Low‑Level Concern and returned to you to manage within the County, once the information has been processed, within the SLA of three working days.
So, if we have a concern of any situation indicating a person’s health, safety or well-being is at risk we can now record them and report them separately rather than them be the subject of the concern.
How do I report a Welfare Concern?
Use the report form https://webform.clue.co.uk/CRSafeguardingConcern
If you select the option County Safeguarding Officer the option will be available to select from the drop down box
If the Club Safeguarding Officer submits the report form the options will not be available as usual , it will be triaged for the County Safeguarding Officer to categorise the incident.
When selecting the type of concern scroll down to select the appropriate Welfare concern
How do I move an existing LLC Concern to the new Welfare Concern?
Firstly create a new Dashboard by going into Incident on the left hand side where is says System View go down to add new view
In the Field select Type of Referral then Equal then type in Mental Health
Open the columns and for example add URN, Type of Referral, Subtype (just to identify them)
Tick Show on Dashboard and save as new view.....you can then give it a title e.g. Move to Welfare Concerns
Go to you Dashboard and your new one will appear at the bottom....there are then 3 steps to make the change
- Click into the Incident and change Subtype from LLC to Welfare
2. Scroll down to custom fields and *Threshold, LLC or Welfare: and select Welfare
3. Go down to the Type of Referral: drop down box and now select the most relevant type (All Welfare concerns catagories are at the bottom of this list)
Click on Save and this will then move off your report and go into the Welfare Concern Subtype
Repeat by editing the report on your dashboard but going into the square with the arrow pointing to the right
Click on Advanced options and just change the name in the Value e.g. Mental Health, Other, Bullying or any other catagory you may feel that you recorded them under
*PLEASE NOTE THAT MENTAL HEALTH, MEDICAL INCIDENTS NEEDS TO BE MOVED BY 30TH JUNE 2026 AS THESE TYPES WILL BE REMOVED FROM THE TOP SECTION AND WILL THEREFORE NOT ALLOW YOU TO PULL A REPORT ON THEM*
